This page brings together the terms for using our website, how we handle visitor information, and our role when client work involves protected health information.

Section 01
These terms apply to the public websites, toolkit pages, forms, chat features, and scheduling links operated by Healthcare Partners Consulting & Billing, LLC (“HPC,” “we,” “us,” or “our”). By using them, you agree to these terms. If you do not agree, please do not use them.
Sending a message, scheduling a call, downloading a resource, or using this website does not make you an HPC client and does not create a business associate relationship. Client services begin only under a signed written services agreement. That agreement and any applicable Business Associate Agreement control client work if they differ from these website terms.
Our articles, calculators, checklists, templates, and other resources are general educational material. They are not individualized legal, clinical, coding, compliance, tax, accounting, or financial advice. Payer requirements and laws change, so information may become outdated. Examples of client growth, collections, or other outcomes describe particular engagements and do not guarantee similar results for another practice.
HPC or its licensors own the website content, branding, and downloadable resources. You may view, download, and use a toolkit internally for your own practice or organization. You may not resell, publicly repost, redistribute, or claim ownership of the material without written permission. You must not interfere with the website, attempt unauthorized access, submit false information, scrape data at scale, or use our forms to send unwanted messages.
Our public contact, chat, toolkit, and scheduling tools are for business inquiries and are not intended to receive protected health information (PHI). Please do not include patient names, dates of birth, member IDs, diagnoses, claim details, records, or similar information. Current clients should use the secure communication method provided for their engagement. If patient information is sent to a public channel inadvertently, we will handle it as required by applicable law and agreements.
We may respond to your inquiry, deliver a resource you requested, or contact you about an appointment. Promotional email is subject to the choices and law described in our Privacy Policy. Text messages are sent only when you have given the applicable consent; message frequency varies, message and data rates may apply, and you can reply STOP to opt out or HELP for help. The website also links to third-party services, including scheduling and resource hosts. Their own terms and privacy practices apply when you use them.
To the extent permitted by law, the website and resources are provided “as is” and “as available,” without a promise that they will be uninterrupted, error free, or suitable for your particular circumstances. To the extent permitted by law, HPC is not liable for indirect or consequential loss arising from use of this public website, and HPC’s total liability for a website-use claim is limited to $100. These limits do not replace or modify the terms of a signed client agreement and do not limit liability that cannot legally be limited.
Georgia law governs these website terms, and disputes about website use will be brought in courts located in Fulton County, Georgia, unless applicable law requires otherwise. We may update these terms by posting a revised version and effective date. Continued use after an update means you accept the revised terms.

Section 02
This policy explains how HPC handles information from visitors and prospective clients using our public website, related toolkit pages, forms, chat, and scheduling tools. It does not replace the HIPAA rules and agreements that govern PHI handled for client practices.
When you contact us, book a meeting, or request a toolkit, we may collect your name, email address, phone number, practice or organization name, role, the resource requested, appointment details, and information you choose to include in a message. Our systems may also record communications and your email or text preferences.
Our website and service providers may automatically receive IP address, browser and device information, pages visited, referral source, approximate location derived from IP address, and cookie or similar identifiers used to operate and measure the site.
We use service providers for website hosting and security, forms and customer relationship management (including GoHighLevel/LeadConnector), chat, resource delivery, and appointment scheduling (including Calendly). These providers may process visitor information for us. Public pages may also use analytics or advertising technologies such as Google Analytics, Meta Pixel, or LinkedIn Insight Tag if enabled. Such technologies can receive device and browsing information; we will not intentionally include patient information in marketing events.
We do not sell visitor information for money. Some laws may treat advertising cookies or pixels as a sale or sharing of personal information for targeted advertising. To object to advertising-related use or ask about the tools active on a page, email info@hpcbilling.com with “Do Not Sell or Share” in the subject. You can also use your browser’s cookie controls. If we add a cookie preference tool, its choices will appear on the site.
We share information with providers supporting the uses described above; with professional advisers or authorities when lawfully required; and as part of a business transfer, subject to appropriate protections. We do not share mobile numbers or text-message opt-in data with third parties or affiliates for their own marketing. Text delivery providers may process that data solely to send messages for us.
We may email you a resource you requested or respond to your inquiry. Marketing emails, when sent, include an unsubscribe option; you may also email us to stop them. If you consent to text messages, you may reply STOP to opt out or HELP for assistance. Opting out of marketing does not prevent messages needed to fulfill a request you made or manage an existing client relationship.
Depending on your location and applicable law, you may be able to request access to, correction of, or deletion of your personal information, or object to certain uses. Email info@hpcbilling.com with “Privacy Request” in the subject. We may verify your identity before responding and will respond within the period required by applicable law. If we deny a request, you may ask us to reconsider by replying “Privacy Appeal.” We will not penalize you for exercising a right provided by law.
We keep visitor information for as long as reasonably needed for the purposes above, including business records and legal obligations, then delete or de-identify it where appropriate. We use reasonable safeguards, but no internet transmission or storage method can be guaranteed completely secure. Our business-facing website is not directed to children under 13, and we do not knowingly seek information from them.

Section 03
HPC provides billing, revenue cycle, credentialing, and operational support to healthcare practices. When that work involves protected health information (PHI) on behalf of a client practice, HPC acts as a business associate under HIPAA. The client practice is responsible for its own patient Notice of Privacy Practices and for handling patient requests under HIPAA.
Our use and disclosure of client PHI is governed by applicable law, the client’s written services agreement, and its Business Associate Agreement with HPC. Those agreements define the work, permitted uses and disclosures, safeguards, subcontractor obligations, and incident reporting. They control over this public website statement.
HIPAA requires business associates to protect electronic PHI with appropriate administrative, technical, and physical safeguards and to limit uses and disclosures to those permitted by law and contract. We address access, workforce practices, secure handling, and incident response through our internal program and client agreements. If an incident involving client PHI occurs, we follow applicable notice duties and the timeframes in the relevant Business Associate Agreement.
Do not submit PHI through the public website, GHL toolkit forms, chat, email links, or scheduling tools. Current clients should use the approved secure channels for their engagement. Patients seeking records, corrections, or information about a disclosure should contact their healthcare provider directly.
