How it works

Engagement structure

HPC consulting engagements follow a defined process. Scope is confirmed before work begins. There are no open-ended retainers without agreed deliverables.

    Discovery call

    A 30 to 45 minute structured conversation to assess the presenting issues, gather operational context, and determine whether the engagement is the right fit. No commitment required at this stage.

  2. 02

    Scope of work and agreement

    HPC prepares a written scope of work outlining the engagement objectives, deliverables, timeline, and fee structure. Work begins only after the agreement is executed.

  3. 03

    Data collection and review

    HPC requests access to the relevant reports, documentation, and platform data needed to conduct the assessment. All data is handled under strict confidentiality protocols.

  4. 04

    Analysis and findings development

    HPC conducts the assessment, identifies root causes, and develops findings and recommendations. This phase may include follow-up questions or clarifying calls with your team.

  5. 05

    Delivery and debrief

    Written report and all deliverables are provided. A debrief session is scheduled to walk through findings, answer questions, and confirm next steps.

  6. 06

    Implementation support (optional)

    For clients who want ongoing support executing the recommendations, HPC offers implementation consulting as a separate engagement. This is not bundled automatically and is discussed based on your internal capacity.

Frequently asked questions

How is consulting different from your billing services?
Billing services execute the day-to-day claim lifecycle on your behalf. Consulting is upstream of that — we assess why your revenue, compliance, or operational results are what they are, document the root causes, and hand back a prioritized plan. No claims are processed under a consulting engagement.
Do you work with practices that already have an in-house billing team?
Yes. A significant portion of consulting work is for practices with internal billing staff who need an outside read on performance, training gaps, or workflow changes. We do not displace your team — we equip them.
What size practice does HPC consult with?
Solo providers through multi-location group practices. Engagements scale to the scope of the issue, not the size of the practice. The smallest engagements are single-domain reviews; the largest cover multi-entity restructures.
How long does a consulting engagement take?
Most single-domain engagements run two to four weeks from data access to delivery. Multi-domain assessments and larger restructures run six to ten weeks. Timelines are confirmed in the scope of work before any commitment.
What information do you need to get started?
For most engagements: read access to your billing platform reports, a recent AR aging report, denial reports for the trailing six months, and a sample of clinical documentation. We will list the exact data set in the scope of work and never request more than the engagement requires.
Is there a minimum engagement fee?
Yes. Discovery calls are free and carry no commitment. Engagement fees are quoted in the written scope of work based on the domains in scope and the depth of analysis required.
Do you sign a Business Associate Agreement?
Yes. A signed BAA is part of every engagement that touches PHI. Data handling, access, and retention are documented before any review begins.
What specialties does HPC have the most experience with?
Behavioral and mental health, primary care, and outpatient specialty practices. Our deepest pattern recognition is in payer behavior, documentation, and platform configuration for those settings — though the consulting frameworks transfer across specialties.
